You pay several providers. Nobody has put them on one page.
"Am I being ripped off?" It's the question nobody wants to ask their own vendor. Not because you suspect them. Because asking it out loud sounds like an accusation, and there has never been a way to check without becoming an expert in five different fields at once.
In short: read-only, one page that says keep, fix or renew for every provider you pay. From $1,500, priced by what you have.
Inside a week, read-only access, one written page that says what to keep, what to renegotiate, what to fix and what to replace. So you can walk into the next renewal knowing which of them earned it.
from $1,500 · one signature · every vendor and system you pay for · one page you can act on, not a slide deck
We take no commissions from any vendor. Our only fee is yours. We are not bidding for your providers' work either: anything we find that needs building, we quote separately or hand to a partner. You are never buying a sales pitch dressed as a review.
You did nothing wrong. The picture just never got assembled.
You hired good providers, one at a time, each for a good reason. The website company. The agency. The software you bought three years ago that quietly renews every January. Every one of those decisions made sense on the day you made it.
Then the reports started arriving in different shapes. One counts traffic. One counts leads. One sends an invoice and a login. Each is fine on its own. Together they do not answer the one question you actually have to answer: which of these is worth another year?
And nobody inside the organization is paid to hold all of it. Your operations lead already has a full job. Your director sees the invoices, not the delivery. So the renewal date arrives, everyone agrees it is probably fine, and it renews for another twelve months.
That is the gap we fill. One senior person on your side of the table, reporting to you, who puts every provider on one page.
What the Vendor Review is
A week of senior time, spent on the outside of your systems looking in. We ask for read-only access and nothing else. Here is exactly what we read.
Contracts
What you agreed to buy, what it renews at, and the date notice is due. Notice dates are where most money quietly disappears.
Invoices
What you actually paid over the last twelve months, line by line, including the seats and add-ons nobody has opened in a year.
Delivery
What each provider says they did, and what we can see landed. Reports, dashboards, the work itself, side by side with what was promised. Where a provider reports a number, we check it against something they do not control: your invoices, your own records, or your team.
Your people
Fifteen minutes each with the people who actually use the thing. They always know which providers answer the phone. Nobody ever asks them.
Where what a provider reports and what your own records show do not agree, that disagreement goes on the page.
Then we write one page. Not a deck. Not a sixty page report that sits in a folder. One page a busy director can read in two minutes and act on the same afternoon.
Where this leads. One page, every provider decided. From $1,500, priced by what you have.
Talk to usWhat you get, concretely
Evidence, not opinion: which provider is earning it, and which is not. Every provider you pay gets a plain verdict, and under each verdict sits the number that made the call: what you pay them, what it renews at, and what came back.
Keep
They are doing what you pay for. Renew with confidence, and here is the evidence to show whoever asks.
Renegotiate
The work is good, the terms are not. Here is what to ask for, what it should cost, and the week to raise it.
Fix
Right tool, wrong set-up. You are paying for something you already own and cannot use. Here is what to change.
Replace
It is not earning its line. Here is what to do instead, what that costs, and how to move without breaking anything.
Under the verdicts sits the part built to be used first: what to do next, in order, with the first three things you can start on Monday and who needs to sign each one.
Sample available on request
You can read a worked example of the page now, so you know exactly what arrives on day three. The organization, the providers and the numbers in it are invented, and it says so on every screen.
Your hours stay small. That's the point.
Two lanes, day by day: what we carry, and the only things we ever need from you.
What it costs
The Vendor Review
A week of senior time. No hourly rate. One fixed fee, one named deliverable, agreed before we start and it does not move. No scope creep conversation halfway through.
There is no guarantee attached to the price, and we would rather explain that than hide it. A fixed fee, a fixed number of days and a named deliverable already carry the risk for you. You know what you are spending and you know what arrives. A promise stacked on top of that would be decoration, and we do not put decoration in writing.
How the week actually runs
We usually run them inside one calendar week. They do not have to be consecutive, and if a renewal date is close we work backwards from it.
We collect and read.
You send access once, from a single list we give you up front. We read every contract, every invoice from the last twelve months, and every report each provider has sent you. You do not hear from us all day.
We check what landed.
Short calls with the people who use each provider, then we put promised against delivered and work out what each line actually returned. This is the day the surprises show up.
We write the page and walk you through it.
Sixty minutes, live, so you can push back while we are still in the room. You get the written page the same day, in a format you can forward without editing.
What happens after
We expect two or three things worth doing to come out of it. You are free to do all of them, some of them, or none.
- Fixed-fee installs. Anything the review found that needs building gets quoted as one number, agreed before work starts. The kind of work this leads to: a data migration off a system nobody likes, a set-up rebuilt so the licenses you already own get used, a reporting system that ends the monthly scramble.
- Training, so it survives us. A half-day workshop is $3,000, a full day is $5,500. A multi-week adoption program is quoted after the review, once we know how many people and which systems.
- Membership, if you want us to stay. Light is $4,000 a month: one vendor decision reviewed each month, two strategy calls. Standard is $6,000 a month: two active workstreams, monthly systems review. Deep is $11,000 a month: your part-time head of technology, embedded. Every tier names what you get each month, so you always know what you are buying.
And if you would rather we did not stay, that is genuinely fine. The page is yours. It is written so your own team, a new provider, or whoever holds this job after you can act on it without us in the room. We would rather earn the next piece of work than be the only person who can read the document.
Our method is simple: diagnose, install, train, run. The review is the diagnose step, and it stands on its own.
Who this is for, and who it is not for
Book it if
- You pay three or more providers and no single person sees all of them.
- Renewals are coming in the next few months and the decision is yours to defend.
- You have agencies working in more than one market, and their reports do not line up.
- Someone above you has asked whether this spend is still worth it, and you want an answer with numbers under it.
- You inherited the whole arrangement from someone who left.
Do not book it if
- You have one provider and a clear picture already. You do not need this. Keep your money, and write to us when the second provider arrives.
- You want us to take over the work we grade. We do not bid on it, so we would be the wrong review.
- You want a verdict without showing us the contracts and invoices. Without the numbers we would be guessing, and you can guess for free.
- You want a team, an account manager and named backups. Here the senior person is the person you deal with, start to finish, and that is the whole point of it.
One honest thing before you book
Grading other providers' delivery is new work for us, and we will not pretend otherwise. We have spent years on the other side of this: running the technology inside organizations, signing the invoices, and building the measurement systems that show whether work is actually landing. That is the same skill pointed at a different target, and we are confident in it. But we have not yet published an outcome from a Vendor Review, and we will not claim one until we have.
That is exactly why the price starts at $1,500 and not three times that. Early buyers get senior attention at a small price, and we earn the proof. That trade is honest in both directions, and we would rather say it here than have you find it out later.
You do not have to take that on trust. Open the sample and you will see the exact page you would get: same format, same depth, on an invented organization, before you decide anything.
What we have done
One piece of work sits closest to this one.
Systems
Field and case management systems in four countries: Cambodia, Liberia, Sierra Leone and the Philippines. Built under contract for an international NGO. Offline, encrypted, and owned by the organization. They control the data, and we never hold information about the people it serves.
More of the record, including named client work and three public testimonials, is on the work page. Every number we publish is checked against a written proof ledger first. If we cannot evidence it, we do not print it.
The ladder from here: the review first, then whatever it finds gets fixed at a fixed price, then keep it covered monthly if you want someone still watching after.

Talk to usQuestions people ask first
What does read-only actually mean?
We look, we do not touch. You give us permission to view contracts, invoices, billing portals and reporting dashboards. We change no settings, we cancel nothing, and we do not contact any of your providers unless you ask us to and you are on the call.
Will you sign an NDA?
Yes, gladly. Send yours and we will sign it before you send us a single document. If you do not have one, we will send a short mutual confidentiality note you can sign the same day.
How fast can we start?
Usually within two weeks of you saying yes. The reading and the calls sit inside one calendar week. If a renewal or notice date is close, tell us the date and we will work backwards from it.
What if you find nothing?
Then your page says these providers are earning their money, and here is the evidence for each one. That is a real result. It ends a recurring argument, it gives you something to hand upwards, and you renew with a clear head. We will not invent a problem to justify the fee.
Do you take a cut from any of the providers?
Never. We are paid by you and only by you. No commission, no referral fee, no reseller margin, on anything, ever. That is the whole reason the review is worth reading.
Can we see a sample page before we commit?
Yes. The worked example is public: the same format you receive, with an invented organization, invented providers and invented numbers, labeled as a sample on every screen. We do not send you another organization's page, even with the details taken out. That is the same reason we will never send yours to anyone.
Is this only for nonprofits?
No. We sort buyers by symptom, never by sector. If you pay several providers and cannot compare them, this is for you: funded program, business, charity or family firm. That does not mean we arrive knowing nothing about your world. The field and case management systems further up this page run in four countries, and the health work was measured before and after. If your sector has rules that change the answer, say so on the first call and we will tell you plainly whether we have done it before.
What if we are a small team and the price is too much right now?
Then write to us and say so. There is one door and one price, and we would rather tell you honestly on a 20-minute call whether the review will pay for itself than sell you a smaller version that does not.
Not sure which line is yours?
Start where everyone starts. We read everything you already pay for, inside a week, read-only, and write one page that says keep, fix, or renew. from $1,500.
Read-only access: we look, we never change anything. NDA on request. Providence Digital, Singapore. You get a proper invoice.
